Hubflo is a Paris-based client portal platform built for service businesses that want to consolidate client-facing work into one place. Founded in 2022, it combines file sharing, task management, messaging, contracts, forms, and a collaborative inbox under a single branded workspace — positioning itself as a replacement for several point solutions.
Core features
The centerpiece is the all-in-one client workspace: each client gets a dedicated portal where they can access shared files, track project progress, complete forms, sign contracts, and communicate with your team via built-in chat. A "Smart Inbox" layer sits on top, managing email and calendar across the team — flagging priority threads, drafting replies, and letting multiple team members collaborate on client conversations without forwarding chains.
Smartdocs handle document collection and e-signatures. Forms support conditional logic on higher plans. A project/job tracker gives clients visibility into where their work stands, and mass messaging lets you push updates to multiple clients at once — useful for agencies managing many accounts simultaneously.
Pricing
Hubflo offers three published tiers, all billed annually:
- Starter (entry-level): 1 internal team member, up to 50 clients, 100 Smartdoc completions per year, 1 active form, 30 GB storage
- Business ($142/month): 3 team members included, additional seats at $49/month each, up to 300 clients, 200 Smartdoc completions, 8 active forms, 1 TB storage. Adds mass messaging, project tracker, client permissions, SMS notifications for clients, recurring tasks, and API + Zapier access
- Unlimited ($262/month): 4 team members included, additional seats at $56/month, unlimited clients, unlimited Smartdoc completions and forms, 8 TB storage. Adds custom domain for the portal, conditional logic in forms, a workflow/automation builder, internal user roles, advanced integrations, and multi-factor authentication
An Enterprise tier is available with white-glove implementation, a dedicated customer success manager, white-label mobile app, SSO, and priority roadmap input — pricing on request.
The client-count caps on Starter and Business are worth noting. Agencies with large books of clients will need the Unlimited plan or will hit the 300-client ceiling on Business.
Integrations and automation
API and Zapier access unlock on the Business plan. The Unlimited tier adds an in-app workflow/automation builder so you can trigger actions (send a form, notify a team member, create a task) based on client activity without leaving the platform. Hubflo also claims support for embedding 500+ third-party apps directly into client portals.
Limitations
Hubflo is a relatively young product — launched 2022 — so depth in some areas (reporting, advanced CRM workflows) lags more established platforms. There's no free tier, only a trial period. The per-seat pricing for additional team members adds up quickly for larger teams: a five-person team on Business runs $142 + $98 = $240/month before clients even factor in. Teams that only need basic file sharing and messaging will find simpler, cheaper options elsewhere.
Bottom line
Hubflo makes the most sense for small-to-mid-sized service firms — consultancies, agencies, bookkeepers — that are currently stitching together separate tools for client communication, document signing, and project tracking. The breadth of native features and the Smart Inbox differentiate it from simpler portal builders, though the pricing escalates meaningfully once you need more than a handful of team members.
